Your own restaurant ordering site: where to start — a checklist

Ivan Bagno · · 6 min read

Your own ordering site is more than “a nice page with a menu”. To take orders without the phone and without chaos in the kitchen, a few things must be set up from day one. Here is the list.

In short
  • Menu with photos, prices, variants and toppings — the basis of conversion.
  • Delivery zones, minimum order and opening hours — so the site does not accept orders you cannot fulfil.
  • BLIK, card and Przelewy24 payments paid out to the restaurant’s account.
  • A sound alert for the kitchen — no order may get lost.
  • Promotion from day one: QR, Google, social media.
  • Categories in the order customers choose (mains → sides → drinks).
  • A photo for every item you want to sell — items without photos sell worse.
  • Variants (size, half-and-half) and toppings with prices.
  • Allergen information — required by EU law (Regulation 1169/2011).

2. Delivery and hours

  • Delivery zones with a fee and minimum order.
  • Pickup as a separate option.
  • Opening hours and days off — the site should not take orders when you are closed.
  • Orders for a set time (e.g. for 7 pm) — if the kitchen can handle it.

3. Payments

  • BLIK — the most popular online payment method in Poland.
  • Card, Apple Pay / Google Pay, Przelewy24.
  • Cash or card on pickup — some customers still expect it.
  • Payouts to the restaurant’s account, not “via an intermediary” with a delay.

4. Kitchen

  • A new-order alert with sound that keeps ringing until someone accepts it.
  • An order screen readable from a distance: what, how many, delivery or pickup, paid or not.
  • A confirmation e-mail to the customer.

5. Domain and formalities

  • A domain with your restaurant’s name (e.g. yourrestaurant.pl) and an SSL certificate.
  • Terms of service and privacy policy (GDPR).
  • Receipts or invoices for online orders — agree with your accountant how to account for online sales.

6. Promotion from day one

  • QR code on flyers, at the till and on packaging.
  • “Order online” link in your Google Business Profile.
  • Link in bio on Instagram and Facebook.
  • A first-order discount on your site.

Do I have to show allergens in an online menu?

Yes. EU law (Regulation 1169/2011) requires allergen information for distance selling too.

Which payments should a restaurant site accept?

At least BLIK and card, ideally also Przelewy24 and Apple Pay / Google Pay, plus cash or card on pickup.
